Job vacancy at AAU: Office Administrator
The Association of African Universities (AAU), an international non-governmental organization (INGO), with headquarters in Accra, Ghana, was set up in November 1967 by universities in Africa to promote cooperation among themselves and between them and the international academic community. The AAU wishes to announce a vacancy in its Communicaton and Services Department.

Purpose of Post This successful candidate will report to the Head of Communication and Services Department, and ultimately to the Secretary-General, and will be responsible for the following tasks:

Main Responsibilities

  • Ensure proper office management (supplies, equipment, logistics)

  • Deal with correspondence

  • Monitor implementation of the work programme of his/her Unit and ensure proper follow-up of decisions and actions

  • Arrange meetings and conferences

  • Maintains departmental records and oversees logistics needed for theoperation of the department, including the maintenance of the departmental mailing list and list of useful resource persons as well as clients.

  • Provides departmental support for travel by requesting an itinerary,ticket price information, and visas directly at the consulates; contacts hosts and arranges hotel accommodation, appointments, and processes travel expenses.

  • Screens correspondence, composes correspondence for signature bythe HCS.

  • Files documents and maintaining the relevant files of the department.

  • Disseminating publications, information, promotional materials toTarget audiences as required

  • Discharge any other duties as may be assigned

Profile

  • A good first degree, or equivalent professional qualification and a minimum five (5) years post-qualification work experience

  • Excellent written and spoken communication skills in English and at least a working knowledge of French or Arabic

  • Work experience in a local or international NGO

  • Familiarity with human resource managemen

  • Supervisory skills

  • Report writing skills

  • Proficiency in computer software programmes (Word, Excel, PowerPoint) and familiarity with e-mail and the Internet

  • Good typing skills

Duration of Position

The contract will be for an initial period of two (2) years, subject to a probationary period of six (6) months, and may be renewed.

Conditions of Employment


  • The AAU offers an attractive remuneration package, including a monthly inducement allowance paid in US Dollars.

  • The candidate will be entitled to annual leave of twenty-one (21) working days.
